Custom Spirit Label Compliance & Approval Automation workflow

Context

Barrel & Bolt manually coordinated custom spirit label submissions across artists, compliance officers, executives, and printers via email chains, causing delays, missed rejections, and no centralized audit trail for label approval status.

Approach

Built four interconnected n8n sub-workflows covering submission intake with validation, compliance review routing, executive approval with print dispatch, and a global error handler, each stage logging status updates to Google Sheets and notifying relevant stakeholders via Gmail and Slack.

Architecture

  1. Webhook POST (label submission)
  2. Field validation
  3. Google Sheets CRM log
  4. Gmail + Slack (Head Distiller)
  5. Webhook GET (compliance decision)
  6. Approval branch
  7. Google Sheets status update
  8. Gmail + Slack (Founder)
  1. Rejection
  2. Gmail (Artist)
  3. Webhook GET (executive decision)
  4. Approval branch
  5. Gmail (Printer + Artist)
  1. Rejection
  2. Gmail (Artist)
  3. Global Error Trigger
  4. Google Sheets error log
  5. Gmail (Admin)
